A good brief starts with recipient choice and practical delivery needs, before branding or bottle selection.
Define the purpose and the boundaries
Decide whether the gift recognizes an existing relationship, marks a team milestone, or accompanies a hosted event. Those purposes may call for different formats. Check applicable company gift policies and approval processes before choosing an amount. Avoid making wine the only option for a broad recipient list. A clear alternative lets people participate without needing to explain personal preferences, health circumstances, or reasons they do not want alcohol.
Build a budget that includes the whole job
Bottle pricing is only one part of a gifting budget. Ask a prospective supplier about packaging, shipping, applicable taxes, custom materials, replacements, and any separate hosting fees. Distinguish a public online tasting from a private company session. If a recurring program is proposed, specify the number of deliveries and whether renewals require a new decision. A clear scope makes quotes easier to compare and reduces assumptions on both sides.
Collect less recipient information at the beginning
For initial planning, recipient count and broad destinations may be enough to establish feasibility. Do not send personal addresses to every vendor you are considering. Once an appropriate ordering process exists, collect only the information needed and explain how it will be used. Let recipients confirm their own delivery details where practical. An old office address or a contact spreadsheet maintained for another purpose may not be a suitable shipping list.
Name the person responsible for exceptions
Someone needs to handle unavailable destinations, changed addresses, missed deliveries, and recipients who prefer the alternative. Agree how these questions reach the supplier and how quickly the organizer needs to respond. If an event accompanies the gift, separate the event date from the shipping window and leave room for the seller’s actual constraints. A presentation mockup cannot establish that every package will arrive on the same day.
